Booking and Payment Information

At Aava Holiday, we aim to make your travel booking experience simple, secure, and transparent. Whether you are planning a trekking adventure, cultural tour, wildlife safari, or mountain expedition in Nepal, our booking and payment process is designed to give you complete peace of mind.

Please read the following information carefully before confirming your trip.

Booking Process

    Booking your trip with Aava Holiday is quick and straightforward.

    Step 1: Trip Inquiry & Reservation

    Choose your preferred trek, tour, or travel package from our website and send us an inquiry through our contact form, email, or WhatsApp. Our travel team will assist you in customizing your itinerary, confirming availability, and finalizing travel dates.

    Step 2: Deposit Payment

    To secure your reservation, we require a non-refundable deposit of 20% of the total trip cost. This advance payment helps us arrange permits, transportation, accommodation, domestic flights, and other necessary logistics in advance.

    Step 3: Remaining Balance

    The remaining 80% of the total trip amount can be paid upon your arrival in Kathmandu before the start of your trip. Final payments can be made in cash (USD, EUR, GBP, or NPR) or via credit/debit card.

    Payment Methods

      We provide multiple secure payment options for travelers from around the world.

      A. Bank Transfer (Wire Transfer)

      You may transfer your deposit directly to our company bank account. Please note that any bank transfer or intermediary charges must be covered by the client.

      B. Online Credit/Debit Card Payment

      We accept major international cards including Visa, Mastercard, and American Express. Once your booking is confirmed, we will provide a secure payment link for online transactions.

      Please note that a 4% card processing fee may apply depending on the payment gateway and issuing bank.

      C. Remittance Services

      We also accept payments through international remittance services such as Western Union or MoneyGram. If you prefer this method, please contact us for receiver details and instructions.

      Last-Minute Bookings

        We welcome last-minute bookings for travelers already in Nepal or planning to arrive soon. For trips booked within 15 days of the departure date, full payment may be required at the time of confirmation to secure all travel arrangements.

        Cancellation & Refund Policy

          We understand that travel plans can sometimes change unexpectedly. Our cancellation policy is designed to remain fair while covering the costs already committed to your trip arrangements.

          Cancellation 30 or more days before departure:

          • The 20% deposit remains non-refundable but may be transferred to another trip within one year.
            Cancellation between 15–29 days before departure:
          • 50% of the total trip cost will be charged as a cancellation fee.

          Cancellation within 14 days of departure:

          • No refund will be provided as permits, transportation, accommodations, and staffing are fully arranged by this stage.

          Important Notes

          • No refunds will be provided for “No-Shows.”
          • No refunds are available for unused services, including accommodation, meals, transportation, or guided activities after the trip has started.
          • Refund policies for flights, hotels, or third-party services may vary according to their individual terms and conditions.

          Travel Insurance

            For safety and emergency preparedness, all trekkers and adventure travelers are strongly advised to have comprehensive travel insurance before arriving in Nepal.

            • Your insurance policy should ideally cover:
            • Emergency medical treatment
            • Trip cancellation/interruption
            • Loss of baggage or personal belongings
            High-altitude trekking coverage
            • Emergency helicopter evacuation (if applicable)

            Please provide a copy of your insurance details before the start of your trip.

            Currency & Additional Charges

            All trip prices are generally quoted in USD unless otherwise stated.

            Clients are responsible for any international bank fees, exchange rate differences, or transaction charges.
            Prices may be subject to change in case of government tax updates, fuel surcharges, or unforeseen operational changes.
